How we handle your information

Luminair Systems Pty Ltd, trading as Signal · Last updated 2027

1. About this policy

This policy explains how Luminair Systems Pty Ltd (ABN 40 628 811 003), trading as Signal (“we”, “us”, “our”), collects, uses, stores and discloses personal information. It applies to our website, signalworkforce.com.au, and to the services we provide to organisations.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

2. The information we collect

Through our website we may collect your name, role, organisation, work email and phone number; information about your organisation, such as sector, number of locations and team size; the programs your organisation already runs and the problems you tell us about; your email address when you register for the buyer FAQ or download a brochure; messages you send us, including through any website chat; and technical information such as your browser, device and pages visited, collected through cookies and analytics tools.

When we deliver services to an organisation, we may also collect information about that organisation’s staff, such as interview and survey responses, observations made on site, and workforce data the organisation provides, such as attendance, tenure and training records.

We do not seek sensitive information, such as health information. If it is shared with us during an engagement, we only handle it as permitted by the Privacy Act and our agreement with the client.

3. How we collect it

We collect personal information directly from you when you complete a form, register, download material, contact us or take part in an interview or survey. During an engagement, we also receive information from our client organisation, which is responsible for telling its staff about this.

4. Why we collect and use it

We use personal information to respond to your enquiry and prepare for and hold an intro call; give you access to registered content, such as the buyer FAQ; deliver, measure and improve our services; send you information about Signal, if you have agreed to receive it; and meet our legal obligations.

5. Confidentiality and de-identification in engagements

Interviews and survey responses are confidential. We report themes, not names, and we do not report results for groups small enough to identify individuals.

With a client’s agreement, we may include information in the Signal benchmark. We only do this after the information has been de-identified and combined with other data, so that no individual or organisation can be identified.

6. Website chat and automated tools

If our website offers an AI-assisted chat, it answers general questions using information published on our website. Messages you send through it are stored so we can follow up and improve our answers. The chat does not make decisions about you.

7. Who we share it with

We do not sell personal information. We may share it with service providers who help us run our business, such as our website host, email and data storage providers; specialist associates working on an engagement, under confidentiality obligations; and others where the law requires or permits it.

8. Overseas storage

Some of our service providers, including our website platform, may store information outside Australia, including in the United States. We take reasonable steps to make sure those providers handle personal information consistently with the Australian Privacy Principles.

9. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. We keep it only as long as we need it for the purposes in this policy or as required by law, then securely destroy or de-identify it.

10. Marketing

We only send marketing emails if you have agreed to receive them. Every email includes a way to unsubscribe.

11. Cookies and analytics

Our website uses cookies and analytics tools to understand how it is used and to improve it. You can set your browser to refuse cookies, although some parts of the website may not work as intended.

12. Accessing and correcting your information

You can ask to see or correct the personal information we hold about you by contacting us. We will respond within a reasonable time, usually within 30 days.

13. Complaints

If you have a concern about how we have handled your personal information, please contact us first. We will investigate and respond within 30 days. If you are not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
